We, as the Sweden Alumni Network Turkey, very much care about your personal data being processed and stored in accordance with the Law on Protection of Personal Data (Hereinafter referred as “Law”). In this regard we would like to inform you as to gathering of personal data, processing, purpose of transfer and our methods and accordingly we would like to inform about your rights stemming from the Law:  

1) Collected Personal Data, The Methods Regarding Collection of Personal Data and Just Cause:

As the Sweden Alumni Network Turkey, during the application of membership or during the membership through www.swedishalumniturkey.org  all the information such as name, surname, date of birth, phone number, gender, nationality, the university which the member graduated from in Turkey or Sweden, the department in the university that the member graduated from, the member’s scholarship, the dates that the member has been to Sweden, the member’s occupation, whether the member is currently employed or not and if yes the information regarding his/her company and in which department the member works for, his/her pictures, his/her LinkedIn and Facebook profile and his/her consent  regarding communication shall be gathered and used in order  such information and pictures to be mentioned, published, reproduced in information note, attendant list, magazine, newspaper, brochure, album, website and social media channels; to be gathered and processed in order to send meeting and activity release and sharing and assessments as to the activities of the Sweden Alumni Network Turkey, to be shared, remembered and celebration of special occasions, to be displayed of meetings and activities, to be shared, introduced with the other members and society and with the aim of communication, the volunteers’ personal information who are not member however supports meetings and activities.

Your personal data shall be processed and shared in accordance with the aim mentioned in this Clarification Text and the article 5-e of the Law which governs “ for the establishment, usage, or protection of a right when processing of data is mandatory”.

2) Process of Personal Date and Purpose of Process

We, as the Sweden Alumni Network Turkey, would like to submit to your information that in order to fulfill the requirements of your membership on the website mentioned above and to communicate with you electronically, in case you provide your consent with us, with the aim to contact you regarding our activities, we process your personal data in accordance with the Law and relevant legal legislation.  

In this regard, we would like to submit to your information that we record, hide, store and update your personal data if necessary, control periodically, classify, keep your personal data as long as required by law or in accordance with the aim of process, share them with the third persons real or legal entities located in or out of Turkey, transfer them abroad due to legal requirements.

3)Transfer of Personal Data and Purpose of Transfer:

As a part of social network establishment activities, such information and pictures shall be recorded, stored, kept and updated if necessary, shared with the 3. Party institutions who are eligible to claim such personal information, transferred to the third parties located in or outside of Turkey, classified and processed in line with the Law in order to be mentioned, published, reproduced in information note, attendant list, magazine, newspaper, brochure, album, website and social media channels; to be gathered and processed in order to send meeting and activity release and sharing and assessments as to the activities of the Sweden Alumni Network Turkey, to be shared, remembered and celebration of special occasions, to be displayed of meetings and activities, to be shared, introduced with the other members and society and with the aim of communication, the volunteers’ personal information who are not member however supports meetings and activities. The list of third parties is attached to this Clarification text.

4) Rights of the Owner of the Personal Data Regarding article 11 of Law:

As the processor of your personal data, Sweden Alumni Network, Turkey shall provide answers to the relevant persons’ questions:

1. Learn whether the personal data was processed,
2. Request information in this regard if their personal data was processed,
3. Learn the purpose of the processing of the personal data and learn whether they were used for intended purpose,
4. Learn about the third persons to whom the personal data was transferred inside or outside the country,
5. Request the correction of the personal data which was processed missing or inaccurately and ask reporting to those third persons who were transferred such data to learn about this process,
6. Request the deletion or destruction of the personal data if the reasons for processing are no longer available despite having been processed in compliance with the provisions of KVK Law and other laws and ask reporting to those third persons who were transferred such data to learn about this process within this scope,
7. Rejecting the emergence of a consequence against them by the exclusive analysis of the processed data by automatic systems,
8. Request indemnification in case they suffer loss due to the processing of the personal data against the law.

I have read and obtained information in terms of Clarification Text on Protection of Personal Data. Through the Sweden Alumni Network Turkey, which I am a member of, I hereby consent that all the information such as name, surname, date of birth, phone number, gender, nationality, the university that I graduated in Turkey or Sweden, the department in the university that I graduated from, my scholarship, the dates that I have been to Sweden, my occupation, whether I am currently employed or not and if yes the information regarding my company and in which department I work for, my pictures, my LinkedIn and Facebook profile and all the pictures that might be taken during meeting and/or activities in the future and all the information regarding my possible assignment within the Sweden Alumni Network Turkey to be processed; in case of necessity, I hereby consent that all the above - mentioned information to be shared with the Board Members of Sweden Alumni Network Turkey, Sweden Embassy, Consulate General of Sweden, Swedish Institute, The Universities Located in Sweden and with the third parties who shall provide service regarding socialnetwork activities; I hereby provide my open consent on my freewill that said information and pictures to be mentioned, published, reproduced in information note, attendant list, magazine, newspaper, brochure, album, website and social media channels; to be gathered and processed in order to send meeting and activity release and to be shared, remembered and celebration of special occasions, to be displayed of meetings and activities, to be shared, introduced with the other members and society and with the aim of communication to be gathered and processed and as long as I wish otherwise to be kept.

I hereby accept that my personal data that has been provided in this registration form along with the IP address where the consent is provided shall be collected and stored  by Swedish Alumni Network Turkey to organize and communicate networking activities within Turkey.

I acknowledge that my personal data shall be processed and shared with the Swedish Alumni Network Turkey Board Member, Swedish Embassy in Ankara, Consulate General of Sweden in Istanbul, Swedish Institute, Universities in Sweden and third parties that may provide service in organization of networking actives. The parties mentioned in this statement are deemed as Authorized Parties.

My personal data shall be stored and processed in line with the requirements of General Data Protection Regulation (“GDPR”) and shall not be shared with third parties other than Authorized Parties and their authorized employees.

I understand that in accordance with GDPR I have the following rights:

• Right to obtain information on the processing of my personnel data
• Right to access my data Right to rectification of my data
• Right to erasure of my data and to be forgotten
• Right to restrict the processing of my data
• Right to data portability
• Right to object to the processing of my data
• Right not to be subject to a decision based solely on automated processing
